THE WORK BEHIND THE NEXT STEPSet up with youOperated for youVisible to your team
01 / THE OPEN LOOP
The work was quoted.
The opportunity is still open.
New calls. Site visits. Install schedules. When the team is busy, following up on yesterday’s estimates can slip down the list.
An unsold estimate isn’t always a no. A homeowner may still have a question, need a conversation, or simply be waiting for a next step.
That gap deserves an owner.
MEET YOUR REVENUE RECOVERY DESK
A desk that does
the follow-through.
A defined process, operated on your behalf. From an approved list of estimates to a clear handoff, we take responsibility for the follow-up work.
Here’s how it worksWe own the agreed follow-up process.
Start with the right estimates
Review the agreed backlog, confirm eligibility, and exclude records that should not be contacted.
Keep the conversation moving
Operate approved follow-up through authorized channels, monitor replies, and surface genuine interest.
Give your team a clear next step
Route callback requests with context. Coordinate appointments only within the rules and availability you approve.
Make the work visible
Keep a record of activity, outcomes, exclusions, and open actions. Review what to improve together.
02 / THE OPERATING LOOP
Every next step.
Connected.
Six parts of one managed process.
You approve the boundaries. We operate inside them.
The boundaries come first.
Access, permissions, messaging, and escalation are agreed before the desk begins.
An illustration of the proposed operating model.
Live workflows and integrations are scoped with you.
Approved onboarding
Agree the boundaries.
Before the first message, we agree on data access, channels, cadence, escalation, and the work your desk will own.
Your approvalEligibility & prioritization
Find the right starting point.
Review the backlog for open installation estimates, contact permissions, exclusions, and active sales conversations. Unclear records stay on hold.
Permission firstAuthorized follow-up
Make the next touch useful.
Prepare and operate follow-up using your approved language and channels. Pricing, financing, and installation promises remain with your team.
Within your rulesResponse classification
Understand the response.
Separate questions, genuine interest, timing concerns, and opt-outs. Human review handles ambiguity and anything outside the agreed scope.
Human oversightSales-team handoff
Connect interest to your team.
Route the homeowner’s question and preferred next step to the right person. Coordinate a callback only within approved rules and availability.
Clear ownershipReporting & management
Keep the whole loop visible.
Record activity, handoffs, holds, and exceptions. Review the work together and improve the process without mistaking replies for completed sales.

04 / THE WORK, MADE VISIBLE
More than “we followed up.”
A shared view of what happened,
what needs you, and what comes next.
Actionable handoffs
Who wants to talk, what they asked, and the next step your sales team needs to take.
A follow-up record
Which estimates were reviewed, what outreach occurred, and how each record was resolved.
Operational visibility
Regular reporting on activity, replies, handoffs, exclusions, and exceptions—not inflated revenue claims.
05 / YOUR REPUTATION, PROTECTED
Careful by design.
Accountable in practice.
AI and automation can support the work. Your approved rules and human oversight govern it.
01 Permission before contact
Channel eligibility, contact permissions, exclusions, and opt-outs are part of setup. Unclear records are held for review.
02 Your rules, your approvals
You approve messaging, cadence, and escalation. No independent discounts, financing claims, or installation promises.
03 Human judgment where it matters
Questions outside scope, complaints, and sensitive cases are routed for review. Agreed stop conditions take priority.
04 Access with boundaries
Data access, retention, and any live integrations are agreed before launch. Request only the information the process needs.
DealWeld is a new business working toward its first customer engagements. You’ll speak directly with the founder about scope, fit, and clear responsibilities.
Who is this service for?
Established US residential HVAC companies with outstanding installation or replacement estimates, a sales team able to handle interested homeowners, and an authorized way to follow up. We start by checking whether your backlog and process are a fit.
Is this software my team has to run?
No. DealWeld is a managed service. We set up and operate an agreed follow-up process. Your team approves the operating rules, handles sales decisions, and takes over qualified next steps.
Will you work with our current CRM?
We review your systems during scoping. The initial workflow may use an approved export or a scoped integration, depending on access and requirements. No specific CRM integration is promised or represented as already implemented.
Do you send texts, emails, or make calls?
The channels are agreed with each customer based on permissions, available systems, and operating requirements. We do not assume every homeowner can be contacted on every channel. The website demo sends nothing.
How are pricing and scope decided?
We review your estimate volume, backlog, systems, approved channels, and handoff needs. You receive a defined scope and price before work begins. Any third-party costs are identified during scoping.
Can you guarantee recovered revenue?
No. Homeowner decisions, pricing, timing, and your team’s sales process affect the result. We track the follow-up work and observed outcomes. An interested reply or an appointment is not counted as a completed sale.
Is DealWeld already working with HVAC clients?
DealWeld is a new business developing this service with its first customers. The examples here are fictional. We are looking for a well-scoped first engagement, with clear approvals, responsibilities, and review points.
